How the work runs
Counted back from the portal’s closing date. Drafted with AI tools; checked and approved by you.

Run from India by Madhvan Sharma, one person from the first email to delivery. On this page: the steps with your own dates, what you supply, lead times, how AI is used, data handling, confidentiality and deletion.
45min
The kick-off call, prepared from your tender pack, on Google Meet
15days
The latest order for a Standard pack, in working days
2checks
on every draft: coverage of the question, and the pass/fail gates
30days
After the deadline, your files are deleted and you are told
The steps, with your dates
Every milestone is counted back in UK working days from the portal deadline, D. Put in your own deadline to see the dates for your tender.
Latest order
Payment cleared, terms accepted, NDA and data processing agreement signed. A welcome email follows with a shared folder you control.
Kick-off call and compliance matrix
A 45-minute call on Google Meet to get the facts out of your head, then the compliance matrix and a tailored evidence request. Clarification questions for the buyer are drafted for you to submit.
Inputs date
Evidence, case studies, CVs, policies and certificates. The delivery date depends on this one. An answer plan follows for a quick check.
Full draft and claims table
Every answer drafted to the marking scheme and the word limits, with every factual claim listed against its source.
Your comments and sign-off
One consolidated set of comments, and your initials against every claim. The final file follows once you have initialled every claim.
Final delivery
The revision applied; the final Word document, portal-ready text, submission checklist and the updated matrix. A 15-minute handover call by .
You submit
Recommended: priced, signed and submitted two working days before the portal closes, not on the day.
Dates for a Standard pack. Lite runs three working days shorter at the front: order by D minus 12, inputs by D minus 10. Dates skip weekends and the buyer’s bank holidays; 19 December to 4 January is confirmed with you first.
What you supply
The evidence list in the compliance matrix says exactly what is needed for your tender.
- The tender pack. You download it from the portal and share it; Evendraft never holds portal logins.
- Company facts: size, structure, locations, certifications, insurance levels and policies.
- Two or three recent contracts like this one, with values, dates and a referee who has agreed to be named.
- CVs for the people named in the bid, cut to role, qualifications and relevant experience. No home addresses, dates of birth, National Insurance numbers, photographs, health or diversity data.
- Any past bids, scores and buyer feedback you are happy to share.
- Your price. Pricing is a commercial judgement only you can make.

Before sending anything, check the tender’s confidentiality terms. Most allow sharing with professional advisers bound by confidentiality; if yours does not, ask the buyer through a clarification question first.
Timelines
Working days are Monday to Friday, excluding the buyer’s bank holidays.
| Product | Order by | Inputs by | Delivered |
|---|---|---|---|
| Bid/no-bid memo | Any time; ideally 12 or more working days out | The full tender pack | Within 24 hours of having the pack |
| Bid Red-Team | 7 working days before | Your draft and the marking scheme, with the order | 2 working days after they arrive |
| Deadline Pack Lite | 12 working days before | 10 working days before | 5 working days before |
| Deadline Pack Standard | 15 working days before | 12 working days before | 5 working days before |
| Interim Bid Writer seat | Weekly rhythm | Anything not already in the answer library | 5 working days before each deadline |
Deliveries are due by 1pm UK time on the day shown. If a deadline is too close for a pack, I will say so, and suggest a Red-Team or a memo on your next tender instead of compressing the schedule.
How claims are checked
Both pieces were written for a fictional supplier, on the live Qualifications Wales tender.
Two checks run on every draft. The coverage check holds the answer against every element the question asks for, with where it is answered and how strongly. The gate check holds your company against every pass/fail test and must-have, so nothing rules you out after the work is done.

How AI is used
Evendraft does not describe its work as human-written. The accuracy check is yours, because the facts are yours.
Drafting uses AI tools. You check and approve every claim before anything is submitted.
- What the tools do. They read the tender pack, build the compliance matrix and draft answers from three sources only: the tender documents, your documents and the kick-off call.
- Nothing is invented. Where a fact is missing, the draft marks it for you to fill. A number, a certificate, a contract example or a named person never goes in unless it came from you. AI tools can still produce a wrong statement that reads well, which is why the next step exists.
- You verify every statement. Each deliverable comes with a claims table listing every factual claim and its source. You confirm or correct each one, and the final file follows once you have.
- You can answer the buyer truthfully. Each deliverable includes a short note on how AI tools were used, which you can adapt if the buyer asks. Some tenders already ask: the form of tender in our sample asks whether AI tools were used and whether the output was checked for accuracy.
- Training. Client and tender material goes only into tools whose terms or settings say inputs are not used to train models. Before you share any files, you receive the current list of tools, where each processes data, and the date its settings were last checked.
- No reuse. One buyer’s tender material and one client’s answers are never used for another client.

UK government guidance on AI in procurement, PPN 017 (and PPN 02/24 for procurements that started before 24 February 2025), says suppliers’ use of AI is not prohibited. Buyers may ask about it, may test claims through clarifications or presentations, and are told to stop confidential information being used to train AI tools. The approach above is built around those points. It is written mainly for central government; other public bodies may set their own rules, so the compliance matrix gets a row for any AI clause in your pack.
Data handling
Data handling for prospects, such as people who receive an email from Evendraft, is in the privacy notice.
- A mutual NDA is signed before any tender pack or evidence is shared.
- Files sit in a folder you control, one folder per client, and you can remove access at any time.
- Personal data is kept to what the bid needs. For CVs and named staff there is a data processing agreement, and you can strip details out before sending.
- Sending personal data to India is a restricted transfer under UK GDPR, because India has no UK adequacy regulations. An International Data Transfer Agreement is provided for you to review before any personal data is shared.
- All accounts use two-factor authentication. No client files on shared or unencrypted devices, and nothing is sent as a cold email attachment.
- Evendraft never contacts the buyer or evaluators for you, and never holds your portal logins.
Evendraft does not hold ISO 27001 or Cyber Essentials. If your policy requires certified suppliers for this material, say so on the first call.
Confidentiality
- Your documents are used only for your bid.
- One bidder per lot: before taking on work there is a conflict check, and a second firm asking about a lot already in hand is declined without saying why.
- Clarification questions are drafted for you; you send them to the buyer.
- Nothing about your bid is published. The one exception is a founding pilot’s anonymised answer, published only with your written approval after award and standstill, with your name, the buyer, people, places, values and anything confidential removed.
A public buyer may have to disclose parts of a bid under freedom of information law. Where the tender allows, mark commercially sensitive sections; the FOI form is in the compliance matrix.
Deletion after delivery
You can ask for earlier deletion at any time.
Client files are deleted 30 days after the tender deadline, and deletion is confirmed by email. The exception is an answer library you ask in writing to keep, as part of the Interim Bid Writer seat or a 3-pack.
Invoices and order records are kept for as long as tax law requires.
What Evendraft does not do
- Promise a win, or charge a success fee.
- Set your price, sign declarations or submit for you.
- Give legal, tax, TUPE or insurance advice. Content on those points is drafting for your advisers to check.
- Invent case studies, statistics or staff.
- Work for two bidders on the same lot of the same tender.
A memo on your tender
The quickest way to judge the work is to see it on a tender you care about.
Send one live tender. Within 24 hours of having the full pack you get a bid/no-bid memo and a compliance matrix. No charge, and no obligation.
Prefer to talk first? Arrange a call on Google Meet, 12pm to 5pm UK time, Monday to Friday.
Ask for a free memo
The button opens an email with the three things to send: the tender link, your company and the portal deadline. Nothing is sent until you press send.
